Build a lead follow-up workflow that your team will use
Give every enquiry a clear owner, status and next step without making the process unnecessarily complicated.

Map where enquiries arrive
List the actual entry points: website forms, phone calls, email, social messages and referrals. Identify who sees each one and where it is recorded. Gaps often appear between channels rather than inside the software itself.
Walk through a recent example with the team, using anonymised details. Ask what happened after arrival, where the conversation stopped and whether anyone knew what to do next.
Define a small set of statuses
Use statuses that describe a real stage, such as new, contacted, awaiting information, proposal sent and closed. Agree what each one means and who can change it. Too many similar labels make reporting unreliable.
Keep the next action and its owner visible. A status alone does not tell the team whether someone needs to call, send a document or wait for the customer.
Design the handoff before adding automation
Decide how an enquiry moves between marketing, sales and delivery. Specify the minimum context required at each handoff and how the receiving person acknowledges ownership. Avoid relying on a message buried in a group chat.
Use a simple template for the first response and adapt it to the actual request. Automation should help the team remain relevant, not send the same sequence regardless of what the customer says.
Keep the data proportionate
Collect the information needed to serve the enquiry and restrict access appropriately. Avoid copying personal details into multiple disconnected documents. Agree how corrections and closed records are handled.
For integrations, define what happens when a submission fails or arrives twice. A visible exception queue is more useful than silently assuming every transfer succeeded.
Review the workflow with the people using it
After a short trial, ask which steps are skipped and why. Some friction reflects missing training; some reflects a process that does not match the work. Fix the cause rather than adding more mandatory fields automatically.
Measure whether enquiries have owners, next actions and understandable outcomes. Only then consider additional dashboards or automation. The system should make responsibility clearer.
